Event Planning:

  • 7 planning calls leading up to your event (via zoom/in-person), plus 4 weekly calls as the event day approaches

  • Vendor: negotiations and selection

  • Entertainment suggestions and negotiations

  • Checklist of tasks you might not have thought about

  • Creative image and ambiance design — including floor plan

  • Venue Walk-through (if you are in the Bay Area, CA.

  • Otherwise we will host your walk-through virtually)

  • Flowers, décor, and lighting design

  • Work with catering company to help create menu

  • development to meet your style

  • Examples of photographers, videographers, florists

  • Transportation and accommodation bookings for out-of-town guests (room blocks)

  • Event graphic and website design

  • Contact all your event professionals and confirm your details

  • Program creation

  • Detailed timeline development for event professionals

  • Event orchestration of professionals, and guests
     

Planning and Initiating:

  • Defining project objectives, scope, and deliverables

  • Creating a detailed project plan with timelines and milestones

  • Identifying required resources and assigning tasks to team members

  • Establishing project budget and cost controls

  • Identifying potential risks and developing mitigation strategies
     

Team Leadership:

  • Motivating and guiding the project team

  • Fostering collaboration and communication within the team

  • Delegating tasks effectively based on individual strengths

Execution and Monitoring:

  • Tracking project progress against the plan

  • Distribute final payments and tips to vendors

  • Gather any remaining items at the end of the night — decor, floral vases, etc.
